Situation

Smartos is a digital transformation platform for the rental real estate industry, helping landlords and property managers manage contracts, tenants, and payments in one system. When I joined, the MVP version had a complex interface and inconsistent user experience, which made it difficult for non-technical users to operate efficiently.

Task

As a UI/UX Designer, my goal was to analyze user behavior, identify key pain points, redesign the management interface, and build a scalable design system for both web and mobile platforms. The main objectives were to:

  • Simplify the rental management workflow.
  • Reduce task completion time to under one minute.
  • Build trust and professionalism through consistent visual identity.

Action

Through 10 in-depth user interviews (6 building managers and 4 private landlords), I identified several recurring pain points:

  • Fragmented workflows: Data was scattered across Excel sheets, Zalo messages, and paper contracts.
  • Manual payment tracking: Users struggled to monitor rent, deposits, and overdue payments.
  • Lack of transparency: Tenants often contacted landlords to confirm unclear fee details or contract terms.
  • Overloaded dashboards: Too many data fields with no visual hierarchy, leading to information overload.

Result

The redesigned interface made the platform easier to use for property managers and landlords, helping them complete tasks more confidently without external training.

The new design system improved cross-page consistency and simplified collaboration between designers and developers.

Internal teams and pilot users praised the clear information hierarchy and visual clarity, which enhanced the platform’s professional image.

Smartos successfully rolled out the new interface in several pilot properties, setting a strong foundation for future scaling.
